Over the course of the last several months, your NPAworldwide Board of Directors have approved several important policy updates to strengthen the integrity, professionalism, and operational excellence of our network. You may have read these for yourself in the Board meeting minutes, but in the event you haven’t, we wanted to ensure you have seen them as they may impact your firm. The Volunteer Conflict of Interest and Suspension and the Member Accountability & Engagement Framework were just approved at the 8 July 2025 meeting and will be distributed in full with the meeting minutes in the coming weeks. Here are the highlights of the recently approved policies

 

Volunteer Conflict of Interest and Suspension Policy

A formal process is now in place to address actual or perceived conflicts of interest among volunteers. Options include voluntary recusal, temporary suspension, or permanent removal, with opportunities for reinstatement once conflicts are resolved. This ensures our committees operate with integrity and impartiality while treating all volunteers respectfully and discreetly.

Member Accountability & Engagement Framework

This structured process addresses policy misalignments that fall short of expulsion but still violate NPAworldwide’s cooperative and ethical standards. It includes:

  1. Informal Resolution between members.
  2. Formal Notice of Concern if the issues persist.
  3. Collaborative Improvement Phase, such as retraining for repeated infractions.
  4. Final Notice & Network Transparency Communication to maintain trust.
  5. Membership Status Review for continued non-compliance.

Members retain the right to appeal decisions within 30 days. This framework supports professional growth while ensuring fairness and accountability.

Utilizing the NPAworldwide Network – User Access and Conduct

Participation in candidate and job exchanges remains strictly limited to informed, trained employees or contractors with:

  • Unique login credentials (no shared usernames or passwords).
  • Non-generic email addresses matching network requirements.
  • Signed nondisclosure agreements, confirmed by owners when adding new team members to the system.
  • An “obvious connection” to your firm displayed in the EXPERIENCE section of their LinkedIn and other professional profiles. This ensures clarity and credibility for members, clients, and candidates alike.

Indemnification Policy Updates

To qualify for indemnification in split fee non-payment scenarios, notification and supporting documentation must now be sent to NPAworldwide within specific timeframes. For example, candidate-side recruiters must refund their portion within 7 days if a fall-off occurs within the guarantee period, with indemnification requests submitted within 60 days if not refunded. Additional details clarify when indemnification applies to protect all parties fairly.

Brokerage Payment Requirements

Billing members must now include a copy of the client invoice alongside the check or wire confirmation when verifying client payments. This ensures accuracy and transparency for all cooperative placements.
