I’m an exporter and have noticed that importers sometimes let me know that my candidate is in play at different times during the process. Some importers tell me before a phone interview is scheduled, while others don’t tell me until after an in-person interview. Very rarely, I have found out after a placement is made. While it’s always great to hear about placement activity, I’d rather know on a more timely basis. Is there a rule or policy about sharing this information?

Thanks for writing! This is an excellent reminder of a key NPAworldwide policy:

  • Whenever a candidate’s contact information is released to a client, the importer MUST provide immediate full disclosure to the exporter of all details relevant to the position, including the name of the client and the location of the job. (Operations Manual, Section A. Policies, 2. Communication)

What this means for importers:

  • If you only share a candidate’s name (or partial name) with your client, immediate full disclosure is not required (but many trading partners provide this anyway to keep their partner in the loop)
  • If you provide a partner’s resume to your client and that resume includes the candidate’s phone, email, or other contact details, immediate full disclosure is required
  • If you send an email or other document to the client, and that email or other document includes the candidate’s contact details, immediate full disclosure is required
  • If you have a telephone call with your client and provide the candidate’s contact details, immediate full disclosure is required

This is a long-standing NPAworldwide policy that is very clear. If the client knows how to contact the candidate directly, the exporter MUST know who the client is, where the job is located, and all other critical information. Early and thorough communication between trading partners reduces the likelihood of problems.
