Is This A Split? Working Job Orders in NPAworldwide

Today's discussion revolves around obtaining job orders and when a split is due to your partner. In our first case, which is the correct answer?

Agency A sends or discusses a job order with Agency B. B takes no action. Subsequently B discovers the job order independently through normal marketing efforts and makes a placement.

A. This is NOT a split placement, as long   as, B did not use any information provided by A to acquire the job order.

B. This IS a split placement since A initially informed B regardless.

C. Neither A or B

It is now over 20 years since I last practised law and so I am a bit rusty. One of the concepts that I still recall from contract law is the "Indoor Management rule." An outsider dealing with a company should be able to make certain assumptions about the regularity of the internal affairs of the company. This provides certainty to people dealing with a company that they cannot just say, "Oh sorry, Donny wasn't authorised to do that."

Be Kind to Your Future Self

Hope you are safe and well. Recently I had a really interesting conversation with a psychologist friend on procrastination. We were discussing why some people (like me) too often leave tasks (eg proposals and reports) to the last minute. A fast-approaching deadline makes matters more stressful and rarely leads to better results. We discussed a strategy of doing smaller tasks regularly and then rewarding yourself when the job is done early, eg taking time off. He described this as “being kind to your future self.” This really resonated  with me - not in an altruistic “do-goody“ way but a practical one where there is clear self-benefit.

    Matchmaker has a feature that allows users to easily send an email to a partner requesting more information about a posted job. Too many of these "request for more information" messages are extremely generic. Many of them simply say, "I would like more information about this job" or "Please send me more info about this role" or similar. These kinds of notes are not helpful to the importer (partner with the job).

    Setting the Default Currency in Matchmaker

    Did you know you can set a default currency in Matchmaker? The default for all users is USD, but you can customize the salary to automatically apply a different currency standard to all of your posted candidate and job records. The recruitment industry is always at the pointy end of macroeconomic change and I know many of us are feeling this acutely right now. We have 10% of the number of job orders we had in February.

    Resume Formatting

    As more members have recently been working with candidates, we are seeing an increase in tech support requests related to difficulty parsing resumes. In almost every instance, the resume in question is full of logos, pictures, tables, or other images. The resume parser can ONLY read text. Resumes that are filled with images will not parse correctly.

    I have done splits with members from Africa for a client in Asia using a candidate from Europe. NPAworldwide is global and I have been a member since 2011. I have always been involved with NPAworldwide volunteer work. I was appointed Members Manager for North Asia from 2011 till 2017, a totally voluntary role serving the Asian community for a total of 6 years. I am still volunteering but in a different capacity.

    Glimmers of Hope in a Pandemic

    Dear Leland,

    Thanks for writing! I agree that the overwhelming amount of negative news isn’t helping anyone’s mental health. While it would be silly to pretend everything is fine and normal, there ARE reasons to remain hopeful and optimistic. There are certainly pockets in healthcare, warehousing, distribution, logistics and a few others where hiring activity is still solid. Many clients are continuing to press forward with interview plans, even if they are delaying onboarding. Candidates and hiring managers are more available for conversations than they have been for a long time. This means that great candidates and smart companies may have a unique opportunity to upgrade their situations right now. Most members are reporting steep declines in open jobs, but some are reporting that the smaller volume of jobs is leading to a higher fill rate.

    On top of that, NPAworldwide has an annual budget that is adopted by the Board of Directors. This budget includes planned income for brokerage, which is a direct reflection of split placement activity. This year’s budget is based on brokerage of just over $7,100 per week. I’m pleased to say that going back over the past 8 weeks, to the beginning of the pandemic, there has only been ONE week in which new acceptance activity was BELOW this target. That was the week ending March 27th, and the acceptance activity was 86% of goal, so lower than planned but hardly catastrophic. The week prior (ending March 20th), members reported acceptances totaling 188% of the brokerage goal. For the seven weeks since, the totals have been 106%, 100%, 116%, 113%, 103%, and 108%. A small number of reported acceptances will result in fall-offs or no-starts, but your network is well-positioned to survive … and thrive. Actual brokerage cash-in for April was about 87% of goal, with some clients paying more slowly than normal.

    The membership pipeline also remains strong with steady interest by prospective members. We enrolled 13 new firms in April – take some time to get to know them! Make them feel welcome and look for split placement opportunities.

    NPAworldwide members have always relied on each other to survive during challenging economic cycles. This time is no different.

    I’m tired of all the doom and gloom about the pandemic and the economy. I’ve been recruiting long enough to have survived a downturn or two, so I know we’re going to get through this one, too. Is there any data that NPAworldwide can share to help bolster my confidence?

If updating NPAworldwide is not part of your regular departure process, please make sure that happens going forward. If you are not keeping your staff list updated in Matchmaker, you run the risk of former recruiters still having active logins.

    Check the Locations on Your Search Alerts

    Recently, there has been an increase in tech support requests for job alerts that appear to be delivering results for incorrect locations. In almost all instances, this has been due to location details either being incorrect, missing, or not updated from the old Matchmaker interface. If you want a search alert (candidates or jobs) to deliver records for a specific geographic location, you MUST include that information in the Location field on Matchmaker. Without it, your alert will contain records from other geographic locations.

    Converting PDFs to Word

    A fairly common support request we receive at NPAworldwide is regarding PDF resumes that won't upload to Matchmaker. If your candidate has embedded images, tables, odd fonts, or other problematic data in the PDF, you'll likely encounter difficulties getting that resume/CV uploaded. You may even have trouble opening the file. As more candidates use mobile devices for their career searches, we think that PDF versions of resumes are likely to increase, since they can easily be stored and opened on a mobile device.

    I've just read an article from a meetings-related colleague who is in some hot water over using an improperly-sourced image in a blog post. In short, her business failed to follow its own policy regarding photo/image use and inadvertently posted a blog that featured an image that was downloaded from Google search results. Turns out that image was copyrighted and not available for public use. She has received a cease-and-desist letter and is likely to pay a significant fine even though she removed the image immediately upon receiving notice of the error.

    The launch of the new Matchmaker UI included a change to a brand-new locations database. This change was made in direct response to feedback from members about the usability and functionality of the old locations database. Data conversion was run on more than 1 million member records to facilitate the transfer to the new logic. As is common with such a large processing task, some records were not successfully converted. Members are finding inconsistent results in location-based searches as a result of this data conversion process.

    Jury Awards Former Times Sports Columnist $15.4 Million 

    A Los Angeles jury has awarded T.J. Simers $15.4 million in damages against The Los Angeles Times for discrimination against him because of his age and disability. It was the second time a jury had considered whether Simers should receive damages related to his claim that after 22 years at The Times he was demoted from columnist to writer in 2013 when he developed health problems. One of Simers' attorneys said that, with interest, the publisher will owe $22 million to Simers and his wife.

    Google Settles Age-Discrimination Lawsuit For $11 Million 

    Google has agreed to pay $11 million to end a class-action lawsuit involving 227 people accusing the company of systemically discriminating against job applicants who were over the age of 40. Under the final settlement agreement, presented to a federal judge July 19, plaintiffs will collect an estimated $35,000 each. Under the settlement, parent company Alphabet Inc. must train employees and managers about age bias, create a committee on age diversity in recruiting, and make sure complaints are adequately investigated.

    There are a few long-time members in NPA who work a narrow niche. As an exporter I try to help them, but every time I submit a candidate they tell me, "I already know them, thanks." Then I hear later they complain they don’t get any help. They do post lots of jobs, but I'm not sure I am spending my time wisely working with them.

    When to Share Information with Exporters

    Dear Nicky,

    I’m an exporter and have noticed that importers sometimes let me know that my candidate is in play at different times during the process. Some importers tell me before a phone interview is scheduled, while others don’t tell me until after an in-person interview. Very rarely, I have found out after a placement is made. While it’s always great to hear about placement activity, I’d rather know on a more timely basis. Is there a rule or policy about sharing this information?

    Be Bold

    The road to riches is never found on the path of least resistance! I believe this is true in life but there is no profession where this concept is more important than recruiting.

    While good things can be achieved through social media and using email effectively – I see too many recruiters who use this as a path of least resistance versus picking up the phone. This was reinforced during a conversation recently with fellow member Jim Lyons. Jim is passionate about targeted recruiting – perhaps Jim is our next guest blogger on the subject! Anyway…Jim and I agree on the point that the art of picking up the phone and engaging a candidate or client seems to have faded from the forefront of recruiting for many.     Exporters Ghosting Me

    Dear Nicky,

    Some exporters will call and ask for more information on my jobs. I spend some time educating them on what I am looking for, they thank me, and one of two things happens:

    1. I never hear from them again
    2. They spend a day or so, take a stab at it and then move on

    I pride myself in making sure I give good feedback to keep them interested. What am I doing wrong? What other suggestions do you have?

Not every deal is going to come together so spend less time wringing your hands over those deals that fell apart. Think about how you can continue to push more send outs (first interviews) into the pipeline! Your success today is less about your pipeline and more about new activity that you have initiated.     Searching for Similar Jobs

    Dear Nicky,

    I'm an importer and want to share a tip that might help other importers as well. Whenever I enter a job in Matchmaker, I then run a search to see if I can find similar JOBS. The reason is that I might uncover a great candidate who isn't a fit for *my* job, but could be perfect for another partner's job. Or, that partner might find the right person for my job. There's a fair amount of crossover with similar jobs in different locations, so my candidate in Atlanta (who doesn't want to relocate to New Jersey), could be perfect for a similar job already in Atlanta. I think most of us typically think that importers should be looking for exporters, but I've had some luck with this strategy of connecting with other importers in the same space. I hope it works for others, too. I'm looking forward to a great year!

    If you are viewing candidates on Matchmaker and are NOT able to view the resume, it is because you are looking at a blinded candidate. The resume *IS* part of the record, but you must click the blue Show Contact Information button at the top of the screen first. This will show the candidate's full contact details to you, along with the resume. This can occur if you are looking at candidates that came via an Alert or candidates that a partner forwards directly to you via Matchmaker.

    In a swell of recent legislative activity with particular importance to recruiters, numerous states and cities have banned employers — as well as their agents and employment agencies — from asking job applicants about their current or prior salary history during the hiring process. New York City recently enacted such a ban, joining Massachusetts, California, Delaware, Oregon, San Francisco and Philadelphia. It’s a hot-button issue, with numerous other states and municipalities considering enacting similar bans, while many businesses remain opposed. In one noteworthy development, the Philadelphia Chamber of Commerce sued the City of Philadelphia to stop the enforcement its ban. The ban is now stayed pending court determination.

    I received a call from an NPAworldwide partner telling me she placed my candidate, which is great news. I then saw in the Membership Updates that her firm is resigning. I know the placement has not been entered into Matchmaker yet. I called my partner to remind her, but so far the placement is still not entered.     Matchmaker Auto Log Off

    One of the security elements on Matchmaker is that the system will log you off automatically after a roughly 4-hour window of inactivity. It is a good idea to refresh your browser before you begin to enter a candidate or job record just to make sure you are not working in an expired session. Otherwise, what can happen is that when you attempt to submit the record, you'll be asked to log back in and unfortunately, lose the record you were working on.

    Matchmaker Search Results

    When searching for trading partners on Matchmaker, the search results are displayed in order of most recent log-in. This means that recruiters who log in more frequently are rewarded by being displayed higher in the search results when other recruiters are searching for trading partners.

    Blinding or Unblinding Candidates

    We have launched a new setting on Matchmaker that allows each firm to decide if they want to have their candidates' names and contact information blinded to other members, or if they want that information displayed.
